what a paper loyalty card really costs a NZ café
Short answer: the printing is cheap. The real costs are the ones you don't see: rewards claimed with copied stamps, cards that end up in the bin before they're redeemed, and the fact that you never find out who your regulars are, so you can't bring them back when they drift away.
1. printing and stamps
The visible cost. A run of cards, a custom stamp or punch, a reprint when you change the design. For most cafés it's a modest yearly spend. Ask your printer for a real quote: it's the one number on this page you can check in five minutes.
2. stamp fraud
Stamps and punches can be copied, borrowed or "generously" applied by a friendly staff member. Each extra stamp is a free coffee you didn't plan to give away. You won't see it in your sales report. It just quietly lowers your margin on the reward.
3. lost and forgotten cards
Cards go through the wash, get left in the car, or sit in a drawer at home. When a customer loses a half-full card, the goodwill you built is gone too. Some start again. Some don't bother.
4. you don't know who your regulars are
This is the big one. A paper card can't tell you:
- how many active regulars you have
- who used to come every day and has stopped
- whether your scheme is actually bringing people back more often
Without that, you can't thank your best customers, and you can't win back the ones who drifted to the café down the road.
a worked example
Illustrative numbers only. Put in your own.
| assumption | example |
|---|---|
| Card-holder coffees a week | 300 |
| Reward | buy 9, get the 10th free (about 30 free coffees a week) |
| Your cost to make a coffee | NZ$1.50 |
| Share of rewards claimed with extra or copied stamps | 1 in 10 |
About 3 rewards a week would be "leaked". At NZ$1.50 each, that's around NZ$4.50 a week, or roughly NZ$230 a year, before printing. That's not dramatic on its own. The larger cost is the one in point 4: if a handful of daily regulars quietly stop coming each year and you never notice, that's thousands in lost sales you had no chance to save.
when paper is still fine
To be straight about it: if you're a small café with a tight crew and a loyal local crowd, a paper card can do the job. Digital starts to pay off when you want to know your regulars, stop stamp leakage, and reach people who've stopped coming.
what changes with a digital card
- Stamps are added by staff on a tablet, so they can't be copied.
- The card lives in the guest's phone. No app to download, nothing to lose.
- You can see how many regulars you have and how often they come.
